Understand the collection
Documents, shared drives, application records, and archived reports each have different owners and quality issues. We map the collection, the questions people need answered, and which users may see which sources. Missing or outdated material needs an explicit handling path.
Prepare records for reliable retrieval
Ingestion can include text extraction, document structure, metadata, deduplication, and source version tracking. Search may combine keywords and semantic retrieval according to the task. The aim is to retrieve relevant evidence, not simply return a plausible answer from a model.
Make answers inspectable
A useful interface links answers and extracted fields to their supporting records. It should say when the available evidence is insufficient, expose uncertainty, and provide a route to the original material. For structured workflows, the output may become a reviewed record rather than a chat response.
Carry permissions through the workflow
The retrieval layer, generated answer, logs, and connected tools must reflect the user’s authorized access. We discuss language coverage, hosting, retention, and provider requirements with Canadian buyers. Evaluation uses representative questions and documents, including cases where the system should decline to answer.
